Terms of Use

These terms are the agreement between you and the person who operates CrewHub. They explain what you may do on the platform, what we owe you, and what happens when something goes wrong. By creating an account or using CrewHub, you accept them.

In short — not part of the agreement

  • CrewHub is a flight-simulation hobby platform. Nothing on it may be used for real-world aviation.
  • You keep ownership of what you upload; you give us the rights we need to display it inside the service.
  • We can restrict or remove an account, but we tell you why and you can ask us to reconsider.
  • We are established in Belgium, and Belgian law applies — without taking away the consumer rights of your own country.

Section 01Who we are

CrewHub is published and operated by [FULL LEGAL NAME], a natural person established in 5660 Couvin, Province of Namur, Belgium, reachable at [email protected]. In these terms, that person is called “we”, “us” or “CrewHub”, and you are called “you”.

[email protected] is also our single point of contact for users and for authorities under the Digital Services Act. We answer in English, French or Dutch.

Full publisher and hosting details are in the Legal Notice.

Section 02What these terms cover

These terms apply to the CrewHub website, the pilot application, the staff area, the public API and the CrewHub desktop application — together, the service.

Four other documents complete them and form part of the same agreement:

Acceptable Use Policy
The day-to-day rules of conduct and flight reporting. See Acceptable Use.
Privacy Policy
What we do with personal data, and who decides what. See Privacy.
Software Licence
The licence for the desktop application and its ACARS component. See Licence.
Terms of Sale
Applies only if and when you buy a paid plan. See Terms of Sale.

If a specific document contradicts these terms on a point it is meant to govern, that document wins on that point.

Section 03Simulation only

CrewHub is a hobby platform for flight simulation and entertainment. It is not certified aviation software, and it must never be used for, or relied upon in, real-world flight planning, navigation, dispatch or operations.

Everything the platform calls a flight, an airline, an aircraft, a salary, a fleet value or a balance is fictional. It has no monetary value, cannot be exchanged for money or goods, and gives you no property right. Navigation data shown in the service comes from open datasets and is not maintained to any aeronautical standard.

Section 04Who may use CrewHub

You must be at least 13 years old to hold an account. If you are under 18, you may use the free platform, but you may not buy a paid plan without the agreement of a parent or guardian, who then becomes responsible for the purchase.

You may hold one account for yourself. Accounts are personal: do not share your credentials, and do not create an account on behalf of someone else without their knowledge.

Section 05Your account

You are responsible for keeping your password and your CrewHub access key confidential. The access key used by the desktop application works like a password: anyone holding it can act as you. Tell us immediately at [email protected] if you believe it has been exposed, and we will reset it.

You agree to give accurate registration details and to keep your email address current, because it is how we reach you about security, moderation decisions and changes to these terms.

You can close your account at any time from your profile. Closing it ends this agreement for the future; what happens to your data afterwards is described in the Privacy Policy.

Section 06Virtual airlines and airline staff

CrewHub hosts virtual airlines that are run by their own members. We provide the platform; the people who run a virtual airline decide who they recruit, what ranks and roles they hand out, and what they publish to their members.

Two consequences follow, and you should know both:

  • Airline staff can see your data. When you join a virtual airline, its administrators can see the profile, career and flight data that the platform makes available to them. They are bound by the Airline Administrator Charter, which limits what they may do with it.
  • We share responsibility with them, but not for everything. For accounts, sign-in, security, billing and flight telemetry, we decide alone and answer alone. For what happens inside a virtual airline — recruitment, ranks, internal publications — we and that airline are joint controllers under Article 26 GDPR. The split is set out in the Privacy Policy, and you can exercise your data rights with us whatever the layer.

Creating or administering a virtual airline requires accepting the Airline Administrator Charter. We can withdraw administrator rights if it is breached.

Section 07Acceptable use

The detailed rules live in the Acceptable Use Policy. In summary, you agree not to:

  • falsify flight reports, or generate them without a genuine simulator session;
  • use bots, scripts or automation against the service without our written agreement;
  • exploit bugs or unintended behaviour for advantage, or attack, overload, probe or reverse-engineer the service beyond what the law expressly allows;
  • harass, threaten, impersonate or discriminate against anyone;
  • upload unlawful content, or content you do not hold the rights to;
  • resell or commercially exploit the service without our agreement.

Section 08Your content

You keep ownership of everything you upload or write — liveries, documents, flight reports, messages, airline pages.

So that the platform can work, you grant us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, adapt for technical purposes and display your content inside the service, for as long as you keep it online. The licence ends when you delete the content, except for backups already made, which rotate out on the schedule described in the Privacy Policy.

We do not sell your content, and we do not use it outside the service without asking you first.

You confirm that you hold the rights to what you upload. That matters most for liveries and logos: a repaint of a real airline's livery carries someone else's trademarks, and uploading it without permission can be unlawful even when the repaint is your own work.

Section 09Third-party rights and takedown

Aircraft manufacturers, simulator publishers, online networks and real airlines own their names, logos and liveries. Where those appear on CrewHub, they are used to identify the thing being simulated. They do not imply any affiliation, sponsorship or endorsement.

If content on CrewHub infringes your rights or is unlawful, you can notify us and we will act. The procedure, the information we need and the response you can expect are set out in the Content & Takedown Policy, which implements Article 16 of the Digital Services Act.

Section 10Moderation, suspension and termination

We may restrict content or accounts when these terms, the Acceptable Use Policy or the law are breached, or when we must act on a valid notice or a court or authority order. Depending on how serious the breach is, we may remove or hide content, restrict a feature, withdraw administrator rights, suspend an account, or terminate it.

When we take such a measure, we will:

  • tell you what we did and on what grounds, as required by Article 17 of the Digital Services Act;
  • say whether the decision was automated;
  • let you contest it by replying to that notice, or by writing to [email protected], within 30 days — we will look at it again and answer you.

If you hold a paid plan and we terminate it for a reason that is not your breach, we refund the unused part of the period you paid for, as described in the Terms of Sale. Nothing here affects your right to bring the matter before a court or an out-of-court body under Section 17.

Section 11Paid plansNot yet in force

CrewHub is free to use today. When paid plans open, buying one will be governed by the Terms of Sale, which will apply in addition to these terms. Two points already settled:

  • as a consumer you will have 14 days to withdraw from a purchase and be refunded in full;
  • after that, you will be able to cancel at any time and be refunded the unused part of the period you paid for.

Free features may change or become paid, but a feature you are already paying for will not be removed from your plan during a period you have paid for.

Section 12The desktop application

The CrewHub desktop application, including its ACARS component, is licensed to you — not sold — under the Software Licence. While a flight is being tracked, it reads data from your simulator and sends it to CrewHub in order to produce your flight report. What it reads, how long we keep it, and how to turn optional parts off, are described in the Privacy Policy.

Section 13Third-party services

CrewHub can connect to services we do not run — among them SimBrief, Discord, and the IVAO, VATSIM and POSCON networks. Connecting one is your choice, their own terms and privacy policies apply to it, and we cannot answer for their availability or behaviour. Disconnecting is always possible from your profile.

Section 14Availability and changes to the service

CrewHub is run as a hobby project on a best-effort basis. We do not promise uninterrupted or error-free operation, and we may change, suspend or withdraw features. Maintenance and incidents happen; we announce them when we can.

If we decide to discontinue the service, or a substantial part of it, we will give at least 30 days' notice and leave you a way to export your data before it stops. We are not responsible for delays or failures caused by events outside our reasonable control.

Section 15Warranties and liability

The free service is provided as it is, without any warranty we are not legally required to give. Paid plans carry the legal guarantee of conformity, which cannot be excluded.

To the extent the law allows, we are not liable for indirect or consequential loss, lost data that you could have backed up, loss of virtual items, ranks or statistics, or loss caused by a third-party service you chose to connect. Where we are liable for a paid plan, our liability is limited to the amount you paid us in the twelve months before the event.

None of this limits liability that cannot be limited by law: death or personal injury caused by our negligence, fraud, intentional fault or gross negligence, and your mandatory rights as a consumer.

Section 16Changes to these terms

We may update these terms as the platform changes or the law requires. Minor corrections take effect when published, with the version number and date at the top updated.

If a change materially reduces your rights or adds obligations, we will announce it at least 30 days before it takes effect, by email and in the application. If you do not accept it, you may close your account before that date; for a paid plan, you may cancel and we refund the unused part of the period.

Every version stays available in the version history, so you can see what changed and when.

Section 17Governing law and disputes

Belgian law governs these terms. If you are a consumer habitually resident in another country of the European Union, this does not deprive you of the protection of the mandatory rules of your own country.

Talk to us first at [email protected] — most things are settled that way. If they are not, a consumer may bring the matter to the Belgian Consumer Mediation Service (Service de médiation pour le consommateur / Consumentenombudsdienst, Brussels), free of charge, before going to court.

The courts of Belgium have jurisdiction, except that a consumer may always sue, and may only be sued, in the courts of their own country of residence where European rules so provide.

Section 18General

If a clause turns out to be invalid, the rest stays in force and the invalid clause is read down to what the law permits. Not enforcing a right immediately does not mean we give it up. You may not transfer this agreement to someone else; we may transfer it if the service is taken over, in which case we will tell you and you may close your account.

These terms, together with the four documents listed in Section 2, are the whole agreement between us about the service.

Section 19Contact

[email protected] — for anything in this document, for a moderation decision you want reviewed, or for a legal request.
